Job Description

The Treasurer is an elected member of the Executive Board. Basic responsibilities include maintenance of the financial records for the guild in QuickBooks, ensure regulatory documents such as raffle license is current, and ensure guild complies with all IRS requirements including responsibility for 1099s as well as submitting tax documents yearly. Acts as the Chairperson for the Budget Committee. Additional duties include ensuring all requirements of the guild Bylaws are enforced such as budget review activities. Treasurer will adhere to the established Financial Policy of the guild. Maintains in an organized manner all financial and regulatory documents

Responsibilities

  • Maintain a record of all funds received and disbursed in QuickBooks.
  • Provide a financial report every month to the Executive Board
  • Reimburse members for expenses incurred related to guild business. Pay guild expenses such as facility fees, post office box and storage expense in a timely manner.
  • Collect money and deposit into the SESLOC account in a timely manner.
  • Chair the annual budget meeting and providing financial reports for determining yearly
  • budget
  • Pay liability insurance annually and requesting certificate of insurance for meeting and event locations
  • Keep all documents, receipts, and records as appropriate and required by the IRS for non-
  • profit status.
  • Meet with the accountant who will complete the Guild tax return.
  • Maintain copies of all speaker contracts, as well as W9 forms, to ensure that IRS form 1099 is completed accurately for speakers.
  • Ensure annual review is performed as per guild Bylaws.
  • Coordinate with incoming Treasurer to visit the accountant to ensure a smooth transition and to make sure all tax documents are filed on time.
